Within the Wired and Wireless Group (WWG), we are seeking an experienced Executive Assistant to support the WWG V.P. of Sales located in San Jose, Ca.  

 

WWG is a newly formed organization comprising of Sales, Marketing, Wired Engineering and Wireless Engineering teams.   

The position supporting the V.P. of Sales is a newly formed role and we are seeking an individual that enjoys creating and working in an evolving team and dynamic organization.

The role requires you to be: Experienced in providing administrate and project support to a leader in a fast pace environment. The culture of WWG requires close collaboration, willingness to share ideas and open to jumping in and supporting other Admins on the Team when needed. 

As an Administrative professional the ability work on multiple diverse projects and tasks that support the Sales organization will be required.   There is an expectation that this role also participate in projects that are overarching WWG worldwide as needed. In addition, being flexible and having a great sense of humor during times of high work load.
 
To be a candidate for this role, you must have leadership skills and analytical knowledge to ensure day-to-day demands operate efficiently, while thinking and acting globally in support of the executive and other projects as assigned with the group and WWG.

 

Responsibilities:

  • Executive-level administrative support including heavy calendaring, meeting arrangements, travel coordination, expense reporting and, meeting management, etc.
  • Coordinate and track key organization data (budget, travel, training, goals, process improvements, communication activities,  etc.).
  • Facilitating communication activities with in-house and external contacts
  • Coordinate organization functional events (group meetings, offsite meetings, celebrations, etc.)
  • Preparation and tracking of purchase orders to ensure timely approvals and processing.
  • Proactively seek and utilize productivity enhancements for staff and organization.
  • Take meeting minutes and pro-actively track actions and report out on follow-up status and completion timeline.
  • Assist with organizational chart maintenance and email distribution lists for division.
  • Partner across organizational boundaries to provide win-win outcomes with other departments and business partners.
  • Successfully plan, execute and assist with new-hire onboarding needs.
  • Timely completion of tasks along with providing updates on status along with backup plans if needed.
  • Manage special projects as assigned within the team as well as within WWG overall.

Qualifications:

  • 8+ years of working at the Executive Administrative level.

  • Bachelor’s degree or documented equivalent work experience

  • Experience working in a high paced technology company supporting executive level staff.

  • Strong organizational skills, detail-oriented, ability to multi-task and prioritize multiple projects in a timely manner while working under pressure.

  • Anticipatory – must be able to plan ahead and identify unforeseen needs.

  • Adaptability – embrace change and pivot when changes arise.

  • Effective written and verbal communication skills with co-workers, clients and customers at all levels.

  • Proven mastery of Microsoft Office applications including Outlook, Word, PowerPoint, Excel, Oracle, and SharePoint, with heavy emphasis in calendar management.

  • Competent in using technology to improve work efficiency.

  • Positive interpersonal skills and willingness to work with others on projects as a peer collaborator
