Xilinx is looking to hire an IT Collaboration Director (in its HQ in San Jose, CA) with recent experience on journey to the Microsoft Productivity and Collaboration Cloud Platform of O365.

 

As part of Xilinx's global IT organization, the Collaboration Group is dedicated to the enterprise content and social collaboration services (currently On Premises) and is geared to modernize/ digitize it by moving to Office 365 over the course of next 18 months. This requires a strong IT leader to act as a thought partner while deploying new services (in MS cloud) and optimizing existing ones (until they move to MS cloud). The IT Collaboration Director will report to the Sr. Director of Global IT Operations at Xilinx.

 

Note: Office 365 is a multi-tenant public cloud platform that provides integrated workforce communication products, including email, instant messaging, file sync, and audio and video conferencing.

 

In the IT Collaboration Director role, there will be dual responsibility of managing existing services and supporting initiatives to enhance those services and drive deployment of new services / capabilities powered by Microsoft Productivity and Collaboration technologies within Office O365 (Sites, Groups, OneDrive, Exchange, Skype for business, Yammer, Delve and Office Web Apps). The position will be responsible for driving the collaboration strategy in alignment within the overall IT Strategy.

 

For existing services, the role will be responsible for maintenance and improvement roadmaps, vendor relationships, and continuous improvement of the services as deemed necessary until the move to Microsoft Cloud. For O365 projects, the role will work with internal PMO team and/or external providers, as well as a cross-functional teams consisting of Architects, Analysts, Infrastructure, Security, and others. The role will be expected to provide project leadership, solution insight, technical guidance, vendor management and implementation coordination to support delivery of O365 initiatives.

 

Job Responsibilities

 

This position includes overall management of the following Collaboration services:

 

Microsoft technologies [On premises] of SharePoint, Lync, Exchange etc. which are positioned to migrate to Microsoft O365 [Exchange Online, SharePoint Online, Onedrive, Yammer, Skype for business, etc.] The position will also be responsible for developing and driving the user adoption plan; communication plan; and leading and coordinating user adoption activities for O365.

 

On-going support for these services includes the following responsibilities:

 

Portfolio Planning / Services roadmap execution: Work with IT and business stakeholders, develop roadmaps for existing services including any upgrades, enhancements, new feature deployment, infrastructure expansion, etc. Role will require tracking critical metrics associated with all underlying services including metrics.

 

Business relationship management: Act as a single-point-of-contact for your services. Be the primary conduit to Xilinx business queries on Collaboration services and O365. Collaborate with O365 Program and Project Manager on user adoption strategy and help drive adoption of O365 tools with domestic and global teams.

 

Oversee Project Execution:

  • Stay aligned with the O365 Program Director to deliver against roadmap/portfolio business case development, coordination of relevant resources (internal, as well as vendor selection & management) ensuring aligned architecture, serviceability, and security.
  • Partner with the business to drive change including training, communication, and sponsor buy-in.
  • Manage a portfolio of initiatives ranging from small, single service updates to large, complex, business and IT transformation efforts.
  • Stay very current on business and technical trends related to Microsoft O365, and act as an evangelist for future initiatives.

Team Management:

  • Manage 3-5 vendors and a team of highly technical 5+ FTEs distributed across San Jose California, Dublin Ireland, and Hyderabad India. Oversee and direct the staff including providing supervision and guidance in strategic operations. Plan, direct, and oversee the daily tasks and activities of collaboration staff.
  • Oversee the development and implementation of long-term goals and objectives to achieve the successful outcome of O365 program and other relevant collaboration touch point initiatives.
  • Oversee annual license true-up, monitor progress and ensure that goals are met.
  • Approve recommendations for efficiency and potential areas of messaging and collaboration service optimization.
  • Conduct periodic evaluations to determine if objectives are being met and consistently identify the opportunity and need to revise priorities.


Qualifications

  • Bachelor’s or higher degree from an accredited college or university with a major in information technology, computer science, business administration or related study, preferably in collaboration management and/or information systems
  • 14+ years relevant working experience in IT function along with:
    • Excellent knowledge of relevant Microsoft O365 solutions (MS Exchange Online, SharePoint Online, Yammer, Skype/Skype for Business)
    • At least 5+ years of Systems, Servers and general IT Operations experience a huge plus
    • Have track record of building effective teams and working in a highly collaborative environment
    • Expert knowledge of IT solutions in the areas of content, collaboration tools, and mobile applications
    • Solid technical and business change delivery experience
    • IT project and portfolio leadership delivering software services
    • Knowledge of managing and/or coordinating efforts related to an enterprise/system-wide program of deploying or maintaining enterprise/system-wide email and desktop collaboration systems
    • Excellent stakeholder and relationship management skills with ability to communicate effectively with all levels of senior business stakeholder audiences
    • Strong knowledge of IT support processes including ticket management / workflow solutions (ITIL, ITSM)
    • Process-oriented and analytical/ critical thinking leadership working style
    • Skilled in oversight of outsourced/contract agreements

Key Competencies

  • Knowledge of and experience with Office 365 products and emerging features. Experience with collaboration and social community solutions
  • Experience in user adoption strategies and driving adoption of O365
  • Experience in people and change management
  • Experience with waterfall and agile software development methodologies
  • Excellent oral and written communication skills
  • Familiarity with Help Desk ticketing systems like Service Now
  • MCSE SharePoint, MCSA Office 365 and MCSD Azure highly valued

 

WORK ENVIRONMENT
Role will be working in a global environment with teams in San Jose, Dublin Ireland, and Hyderabad India. Minimum travel required to the other regions [position local to San Jose, California].
Must be able to perform successfully in a fast-paced, intellectually intense, multi-cultural environment.
